What the Template Contains
The timesheet covers a full calendar month and provides fields for each day to record start time, end time, rest break duration, actual hours worked, activity or project, as well as comments. The bottom section includes summary rows for actual hours worked, contracted target hours, and balance (overtime or shortfall), along with signature fields for both the worker or employee and their line manager.
The Excel file is ideal for completing digitally on a computer, while the PDF version is designed for printing out—for instance, on construction sites or in operational areas without network coverage.
How to Fill It Out Correctly
- Log hours daily, not at the end of the month. Under the National Minimum Wage Act 1998 (NMWA) and general employer compliance duties, records must be kept accurate and up to date to prove that workers are properly remunerated for all working time and that statutory maximum limits are respected.
- Record breaks separately. Under Regulation 12 of the Working Time Regulations 1998 (WTR 1998), an uninterrupted rest break of at least 20 minutes is legally mandatory whenever a working day exceeds 6 hours. Note that under-18s (young workers) are entitled to a 30-minute rest break after working more than 4.5 hours.
- Obtain signatures. Having the timesheet countersigned by a line manager confirms acknowledgement and significantly strengthens its evidential value in internal reviews, HMRC audits, and Employment Tribunal proceedings.
- Retain for statutory periods. Under Regulation 9 of the Working Time Regulations 1998, employers must retain adequate records for at least two years to demonstrate compliance with the 48-hour average weekly working limit and night work provisions. Furthermore, under the National Minimum Wage Regulations, complete time and payroll records must be retained for at least six years to satisfy HMRC enforcement requirements.
Limitations of a Spreadsheet Template
While an Excel timesheet formally meets basic manual logging requirements, it reaches its limits when it comes to rigorous compliance: spreadsheets can be modified retroactively without leaving an audit trail, whereas compliance best practices and HMRC scrutiny require data integrity, tamper-proof tracking, and clear accountability.
