The entitlement to vacation, the approval of vacations, and the calculation of remaining vacation are all part of the absence module. The annual vacation entitlement can be recorded for employees with a validity period. This way, the vacation entitlement is calculated correctly, even if it changes during the year, for example, due to a contract adjustment. If no end date is recorded for the vacation entitlement, this entitlement applies to all following years. The standard vacation entitlement for new employees can be stored in the settings. If the employee was not employed for the entire calendar year, the vacation entitlement is prorated accordingly.

Mid-Year Start with PlainStaff

If you start using PlainStaff during the year, employees will likely have remaining vacations that need to be considered in PlainStaff. You simply record these as vacation corrections for employees at the start date of PlainStaff.

Half Vacation Days

Fractions of vacation days cannot be submitted via the normal vacation request in PlainStaff. Here’s how you can implement hourly absences in PlainStaff:

  1. Create an absence type for hourly absences (e.g., “Hourly Leave”, Calculation Actual=0). If desired, an approval process can also be stored here. Employees then have this time deducted from their flexitime account.
  2. If employees do not have enough hours in the flexitime account, you can create a correction for the employee (Vacation Correction -1 day, Time Correction +8 hours). Then, employees can take the remaining hours of this correction as hourly compensatory leave later.

Calculation Formula for Vacation Entitlement

The vacation entitlement is entered for employees in the corresponding tab. The entitlement can be time-limited and can thus change at any time (including mid-year). Only if employees have an active working time model and a vacation entitlement, they are credited 1/365 of the vacation entitlement for that day.

  • Working time model: 5x8, 6/1/2022 - open-ended
  • Vacation entitlement: 30 days, 1/1/2000 - open-ended

The employee receives a vacation entitlement of 30 x 214 / 365 = 17.589 = 18 days in 2022.

  • Working time model: 5x8, 1/1/2000 - open-ended
  • Vacation entitlement: 25 days, 1/1/2000 - 5/31/2022 / 30 days, 6/1/2022 - open-ended

The employee receives a vacation entitlement of (25 x 151 / 365) + (30 x 214 / 365) = 10.34 + 17.589 = 28 days in 2022.

Vacation Corrections

With vacation corrections, employees can be credited or deducted vacation days. The correction is entered directly for the employee and is considered on the recorded date.
