PlainStaff Smartphone App

Introduction

PlainStaff offers quick and easy HR processes for browsers and mobile devices. Working times and project times can be recorded, time accounts managed and absences monitored. The smartphone app for PlainStaff is available for Apple and Android. Compared to the web app, which is used via the web browser, it only offers a limited range of functions and is intended to quickly and easily record times, get an overview of the time account or approve absences.

PlainStaff User Account

In order to use the PlainStaff mobile app you need a PlainStaff user account. You can create a user account for free at https://plainstaff.com. These free user account allow the use of all functions and modules of PlainStaff and can be used for 30 days.

Setup Of PlainStaff

The mobile app only has limited functionality. To setup your PlainStaff user account or create customers and projects please visit https://<Ihr Mandant>.plainstaff.com on a PC or tablet.

Navigation within the PlainStaff app is carried out using the navigation bar at the bottom of the screen:

Employee Time Tracking

Employee Time Tracking

The Employee Time Tracking screen consists of the following elements:

  1. Photo and Name: With a tip on the user photo, this can be replaced by your own.
  2. Total balance: The current vacation and upcoming absences are displayed here. If the Absence Management is activated, the vacation corresponds to the remaining vacation in this year. If the Absence Management is not activated, the vacation corresponds to the vacation taken this year. If Employee Time Tracking is also activated, the current status of the working time account is also displayed.
  3. Current Booking: This section shows the current booking if the user "Punched in" but not yet "Punched out" (only available if Employee Time Tracking is activated).
  4. Buttons: With the help of these buttons different functions can be reached:
  5. Puch in / Cancel punch-in: Using the "Punch in" Button a stop watch can be started. Using the "Cancel punch-in" button the stop watch can be reset and the "Punch-in" deleted.
  6. Punch out: Using the "Punch out" button the stop watch can be stopped and a time booking is created.
  7. New time entry: This button creates a new time entry vor any booking type without using the stop watch.
  8. Vacations: A short link to create a vacation booking.
  9. Time Account: Tap here for the account overview of the working time account.
  10. Team Calendar: Tap here to go to the team calendar with an overview of all approved absences in the team (only available if the absence management is activated).

Time Account

Time Account

The working time account contains the following information:

  1. Employee select: Superiors and administrators can use the employee selection to view the accounts of their employees.
  2. Date select: With the help of the arrows or a tip on the month you can switch between the months.
  3. Day: The day rows have the follwing columns:
  4. Date: Day of the month
  5. Bal.: The time balance of this day. This is calculated by subtracting the target working time from the actual working time after deducting all mandatory breaks.
  6. Correkt.: Any existing time corrections are displayed here.
  7. Tot. Bal.: The rolling total balance of the time account.
  8. Day bookings: Every booking for a day is displayed with the booking type and duration. With a tap on the booking, it can be changed or deleted.
  9. Total: This row shows the total balance for the current month.

Team Calendar

Team Calendar

The team calendar shows all approved absences for each team and month. This can also be integrated into Outlook, Apple or Google Calendar via the PlainStaff Web App.

Project Time Tracking

Project Time Tracking

The Project Time Tracking screen consists of the following elements:

  1. Photo and Name: With a tip on the user photo, this can be replaced by your own.
  2. Project turnover: The project bookings of the last 7 days are displayed here in hours and in local currency.
  3. Current Booking: This section shows the current task that was started by "Start task".
  4. Buttons: With the help of these buttons different functions can be reached:
  5. Start Task: The stop watch for a task can be started with the "Start Task" button.
  6. End Task: With the "End task" button, a project booking is created based on the currently running stopwatch.
  7. New time entry: With this button any time booking can be created - for example to add forgotten bookings.
  8. Project Times: Tap here for an overview of the booked project times.

Project Times

Project Times

This screen contains the following elements:

  1. Employee select: Superiors and administrators can use the employee selection to view the accounts of their employees.

  3. Day: The day rows have the follwing columns:

  5. Target: The net working time recorded on this day (only available if Employee Time Tracking is activated).
  6. Actual net: The sum of the project hours recorded on this day.
  7. Workload: Actual net divided by Target in percent (only available if Employee Time Tracking is activated).
  8. Day bookings: Every booking for a day is displayed with the project, task and duration. With a tip on the booking, it can be changed or deleted.
  9. Total: Shows the monthly balance of the columns.

Inbox

Inbox

The inbox shows all workflow tasks currently to be approved. The task can be edited with a tap on the row. This area is only available if the Absence Management is activated.

Settings

Settings

This screen contains the following elements:

  1. Photo and Name: With a tip on the user photo, this can be replaced by your own.
  2. Switches: Using these switches the newsletter and the e-mail notifications for new workflow tasks can be switched on and off.
  3. Colors: The color selection can be used to switch between light and dark colors.
  4. Help: This document.
  5. Feedback: A dialog to send us feedback. Please make ample use of it!
  6. Sign Out: Sign-out from the PlainStaff client with the option of logging in again.
